AccPac Payroll Report

The AccPac Payroll report is used to export employee hourly worklog data and piecework amounts to an external payroll system such as Sage. The report will calculate an employeeā€™s payout based on hours worked vs. pieces harvested, often referred to as a Top-Up system. This guarantees an employee will earn their hourly rate at minimum.

Example 1:

  • Employee's Hourly Rate: $15/hour

  • Piece Rate: $2/item

  • Worklog: 3.5 hours

  • Items Produced in Timeframe: 50 items

  • Flag as Piecework checkbox set to checked

Hourly Earnings: 3.5 hours x $15/hour = $52.50

Piecerate Earnings: 50 items x $2/item = $100

Payout is $100

Example 2:

  • Employee's Hourly Rate: $15/hour

  • Piece Rate: $2/item

  • Worklog: 3.5 hours

  • Items Produced in Timeframe: 25 items

  • Flag as Piecework checkbox set to checked

Hourly Earnings: 3.5 hours x $15/hour = $52.50

Piecerate Earnings: 25 items x $2/item = $50

Payout is $52.50

Example 3:

  • Employee's Hourly Rate: $15/hour

  • Piece Rate: $2/item

  • Worklog: 3.5 hours

  • Items Produced in Timeframe: 25 items

  • Flag as Piecework checkbox not set

Hourly Earnings: 3.5 hours x $15/hour = $52.50

Piecerate Earnings: 25 items x $2/item = $50

Payout is $102.50

Field Packing Example:

  1. Log into your Croptracker account via the website and print an employee badge

  2. Also using the website, set up a piece rate on a pay schedule for the product being havested/packed:

    Screenshot from 2024-07-17 13-17-31.png

  3. Ensure the employeeā€™s pay schedule is the one with the piece rate

  4. From the Master Styles screen, pre-print tags to be scanned for field packing:

    Ā

  5. Using the Croptracker mobile app, punch the employee into the harvesting/packing location

  6. Create a Field Pack event for the same location

  7. Add a pallet with 0 units

    Ā

  8. Ensure the master units are synced with the server

  9. Punch the employee out to close the worklog or edit the worklog to have an end date

  10. View the pallet on the Croptracker website in the Field Pack module to ensure the payout is correct for each master on the pallet for each employee

  11. Run the Employee Payroll Report to view the payout in terms of hourly rate, piece rate, and top up:

  12. Set the date range and employee filter and then run the AccPac Report to download as CSV to import into Sage

    Ā

  13. Confirm in Excel that the CSV file has the correct data for each employee. In this case the hourly rate of $11.50/hr x 2.5 hours outweights the 10 pieces at $2.00/pc, so the pieces are not included.

    Ā

  14. If the Flag as Piecework checkbox is not checked, the AccPac report will show both the hours and pieces together, effectively paying out both (overpaying)

  15. If the employee has pieces that do not fall within the bounds of the worklog the pieces are considered ā€œorphanedā€ and are displayed in the AccPac report even if the employeeā€™s worklog is not set to ā€œFlag as Piecework.ā€ This would produce the same result as #14 above

    Ā

  16. If the employee has the ā€œFlag as Pieceworkā€ flag turned on and has orphaned pieces within 15 minutes of the start or end of a worklog, the pieces are not considered orphaned and will factor into the ā€œtop upā€ calculation.
